External workflow route

A notification may ask you to approve an application, complete a toolbox meeting, or sign a supervisor follow-up. Use its complete link and check the content before acting.

Check what the notification requests

Registration, invitations, and password resets have their own Account workflows. Do not substitute someone else’s personal link for yours.

You received a ticket approval request​

  1. Open the original link and check the building, applicant, application, dates, and displayed time zone.
  2. Review all visible tabs and attachments, including approval progress and history.
  3. Confirm that your action is needed, then choose an available action.
  4. Complete required additional fields. Keep your suggestion within 30 characters.
  5. Submit, wait for the completion message, and check the updated status.

Check the result: you have handled this approval stage. If the page says you are not an approver, have already acted, or the flow has ended, inspect the result; you cannot submit that action again.

Complete the toolbox meeting before work​

  1. Open the meeting link and check the date, project, contractor, and work area.
  2. Read the safety notice and form instructions, then complete required editable fields and review the original application attachments.
  3. Have the contractor supervisor and every listed worker provide their own signature.
  4. Submit after completing on-site requirements. The Hon Hai supervisor’s later signature does not block this step.
  5. Wait for success. When the system identifies the related Tenant user, it creates a pending Hon Hai supervisor follow-up for the supervisor to handle through a notification.

Check the result: the meeting has been submitted. Meeting submission and supervisor follow-up are separate steps; submitting the meeting does not complete the supervisor’s approval.

A supervisor receives a follow-up​

  1. Use the complete link from the supervisor notification and check the project and meeting.
  2. Review the original application, images, and meeting data, then provide the supervisor signature. Saved meeting and application content is read-only here.
  3. If synchronization with other records is offered, check each one. Only pending records with matching missing-signature content can be selected.
  4. Submit and inspect the result. If some records fail, confirm which completed before handling the remaining records.

Check the result: you know which records were handled and their outcomes. Opening the page alone does not complete approval.
