VMS User Manual
VMS manages visitor, construction, and garrison access for buildings. This manual is organized by role: tenants create requests, building managers configure and manage building operations, and external users complete approval, registration, or toolbox meeting actions from dedicated links.
If this is your first time using VMS, start with the entry point for your role:
- Tenant portal: join buildings, maintain visitors, and create tasks and tickets.
- Building Manager portal: configure buildings, registered units, contractors, templates, and applications.
- External flows: approve tickets, register accounts, or complete toolbox meetings from notification links.
Core relationship
In VMS, a task template controls which task a tenant can create. One task template can bind multiple form templates, so when a tenant creates one task, the system can create multiple tickets under that task.
Getting Started
What you need first
- BM
- Tenant
- Get a Building Manager (BM) account and verify your email.
- Confirm that your account can manage the target building.
- Sign in to the BM website, then start from “Building” to configure registered units, contractors, and templates.

- Register yourself, or accept an invitation sent by a BM from “Registered Units”.
- Verify your email.
- Sign in to the Tenant website, then check whether your target building is already listed in “My Buildings”.

Common first steps
- To join a building: tenants read My Buildings; BMs inviting tenants read Registered Units.
- To create a visitor application: first create the visitor in My Visitors, then create a task in Tasks.
- To create a construction or garrison application: ask the BM to confirm that the building already has qualified contractor personnel.
- To configure an application flow: BMs create Form Templates, then create Task Templates.
